Challenges
Paper jams and susceptibility to errors
Until the introduction of SequriX, alarm tracking was still mainly done manually. The creation of reports and invoices involved repeated typing and copying of handwritten notes. In total, the same information had to be entered again by hand at four stages in the process. This meant a great deal of administrative effort on the one hand and a high susceptibility to human error on the other.
No centralized clustering of information
Alarm descriptions, EMA codes, but also operating instructions for door controls, for example, had to be collected in folders that were handed over to employees and stored in large cabinets in the head office. The company wanted to switch to a digital and streamlined solution.
VdS compliance (regulation unique to Germany)
Nowadays, it is essential for security companies to carry out their interventions in accordance with VdS requirements. This means tamper-proof recording of all relevant time stamps. Implementation was not feasible for elko without the use of appropriate software.
Solutions
By implementing SequriX, several problems in elko's processes were easily solved.
Reporting and traceability
Whereas previously information had to be recorded by hand at four different stages in the alarm process and then either copies or carbon copies had to be used, the entire reporting process is now combined in one centralized system. The employee receives an alarm message assigned to them on their tablet and then only has to record their findings on site. Since the introduction of SequriX, elko has focused on complementing the findings with photos, which make reports more informative and facts easier to understand in an uncomplicated way. All object information and recorded time stamps are automatically complemented by SequriX. Security staff can access documents and emergency contacts at any time via the SequriX app. At the same time, the control center staff can track the progress of the intervention in real time and therefore always have a perfect overview. SequriX now also enables quick and easy traceability of processes in the event of ambiguities or complaints afterward. Everything can be viewed within the system with just a few clicks.
Invoicing
SequriX makes it much easier for elko to create invoices than before. Once a week, the information is exported from SequriX and transferred to an ERP system. This can then use the imported data to generate invoices in a matter of seconds, thus also reducing the need for a massive manual transfer effort.
VdS conformity
Following the introduction of SequriX, elko can ensure that its alarm interventions comply with VdS requirements. The company uses the geo-fencing integrated in SequriX to record the time stamps. This automatically sets a time stamp based on the employee's GPS position as soon as they arrive at the property. Leaving the property is also registered and noted with another time stamp. All time stamps are tamper-proof and therefore VdS-compliant.
Results
By using SequriX, elko saves up to 10 minutes per intervention and therefore considerable resources. As a result, the company can focus more on improving its services and expanding its business. Employees now also have all relevant information available at any time during the intervention in the SequriX app.
Furthermore, reports can be created faster and with a minimized error rate, as transmission errors can be ruled out. This is particularly noticeable in the increased customer satisfaction.
